A Claim Document Register That Helps Reviewers
A document register is useful when it answers a practical question: which item should someone use, and what does it support? A folder full of attachments does not always provide that context.
Give each item a clear identity
Record the claim reference, a descriptive document name, the date received, and the person or organization supplying it. Use a consistent pattern across vehicle, building, contents, machinery, equipment, and stock claims while allowing details to match the asset.
Record purpose alongside the file
Add a short explanation of why the item belongs in the assessment. A photograph may support a particular observation; an estimate may explain a cost line; a replacement report may answer an earlier review question. Keep the explanation factual and specific.
Make replacements understandable
When a document is replaced, identify the current version and note the reason. Preserve enough context to explain the change without making a reviewer compare every earlier attachment.
Track the unresolved request
If a needed item is missing, state the question it should answer and who is expected to provide it. When a new attachment arrives, check whether it resolves that question before marking the request complete.
Bring the workflow together
Hillcover is multi-asset claims collaboration software for insurers, assessment companies, independent assessors, and brokers or agencies. It brings claim assignments, documents, estimates, assessment reports, and review work into a shared workflow.
